What Is a Virtual Bookkeeper?

A virtual bookkeeper manages your financial records remotely using secure cloud accounting software, so you get ongoing bookkeeping support without needing someone in your office every day. For UK business owners — whether a limited company registered with Companies House or a sole trader — that means your bank feeds, invoices, VAT records, and payroll are reconciled and reported on a fixed schedule, with a dedicated bookkeeper you can reach directly by phone, WhatsApp, or email. Whether you call it virtual bookkeeping, remote bookkeeping, or outsourced bookkeeping, the goal is the same: an experienced bookkeeper handling your accounts accurately every month, so you’re never scrambling before a VAT return deadline or a Corporation Tax filing. We work with UK businesses of every size — from newly incorporated startups to established limited companies — and with the chartered accountants who serve them, giving them a reliable bookkeeping partner without adding headcount.

What Is Corporation Tax-Ready Bookkeeping?

Corporation Tax-ready bookkeeping means your monthly books are organized and reconciled in a way that your chartered accountant can use directly to prepare and file your CT600 with HMRC — without having to rebuild your records first. With the main Corporation Tax rate at 25% for profits above £250,000, and a 19% small profits rate for profits at or below £50,000 (with marginal relief in between), having clean books ready year-round makes it much easier for your accountant to apply the right rate and avoid a scramble at filing time.

What Is VAT-Ready Bookkeeping?

VAT-ready bookkeeping means your output tax and input tax are tracked accurately throughout each period, using Making Tax Digital-compatible software, so your VAT return can be filed with HMRC on time and without errors. This matters whether you’re already VAT-registered or approaching the £90,000 mandatory registration threshold — and since MTD for VAT has applied to all VAT- registered businesses since April 2022, manual submission through the HMRC portal is no longer an option regardless of your size.

Why UK Businesses Need Professional Bookkeeping

Patterns we see regularly among UK clients:

VAT compliance and Making Tax Digitalthe standard VAT rate is 20%, with mandatory registration once taxable turnover exceeds £90,000. Every VAT-registered business, regardless of size, must keep digital records and file through MTD-compatible software.
Corporation Tax and marginal reliefthe main rate is 25% above £250,000 profit, with a 19% small profits rate at or below £50,000, and marginal relief in between. Getting the calculation wrong is a common and costly mistake.
Making Tax Digital for Income Taxsole traders and landlords with gross income above £50,000 must join MTD for Income Tax Self Assessment from April 2026, with the threshold dropping to £30,000 in April 2027 and £20,000 in April 2028.
Companies House compliancelimited companies must file annual accounts and a confirmation statement, and directors and persons with significant control now face identity verification requirements under the Economic Crime and Corporate
Transparency Act 2023.
Owner timeevery hour spent reconciling accounts or chasing invoices is an hour not spent growing the business.

Understanding the UK’s Business Environment

The UK’s economy includes a large professional, scientific, and technical services sector (the single largest industry group among registered businesses), alongside retail, e-commerce, hospitality, and a substantial base of limited companies and sole traders. Businesses are typically structured as Companies House-registered limited companies, partnerships, or sole traders, each with different registration and filing obligations to HMRC and, where applicable, Companies House.

UK Business Landscape: Key Statistics

There are over 5.5 million companies on the Companies
House register, with more than 63,000 new company incorporations recorded in a single recent month — reflecting how active UK company formation remains.
There were approximately 2.73 million VAT and/or PAYE- registered businesses in the UK, an increase from the previous year, with companies and public corporations now making up over three-quarters of all registered UK businesses.
Professional, scientific, and technical services is the largest industry group, accounting for roughly 15% of all registered UK businesses.
Business creation is accelerating, with quarterly new business registrations up double digits year-on-year in recent data.

Recent Bookkeeping and Tax Updates in the UK

Making Tax Digital for Income Tax is arriving in phases. Sole traders and landlords with gross income above £50,000 must join from April 2026, with lower thresholds phasing in over the following two years — this is a significant shift for anyone still filing Self Assessment manually.
Director identity verification is now mandatory. Since
November 2025, directors, persons with significant control, and anyone filing on behalf of a company must verify their identity with Companies House under the Economic Crime and Corporate
Transparency Act 2023.
The VAT registration threshold remains frozen at £90,000 through at least March 2026, with no change announced in the most recent Budget — useful to know if you’re tracking whether registration is coming.
This section will be updated periodically to reflect regulatory changes — always confirm current requirements with your chartered accountant before making filing decisions.

Common Bookkeeping Challenges in the UK

A sole trader crosses the £90,000 VAT threshold without noticing, and by the time they register, they face a scramble to become Making Tax Digital-compliant retroactively. A growing limited company doesn’t realize marginal relief applies between £50,000 and £250,000 profit, and either overpays or underestimates its Corporation Tax liability. A company director puts off the new identity verification requirement with Companies House, risking delays to filings that depend on it.

Structured monthly bookkeeping is built specifically to catch these situations before they become expensive.

Questions About Bookkeeping in UK

Scope of Service

We’re a bookkeeping firm, not a chartered accountant or registered auditor — we don’t provide statutory audits, tax representation before HMRC, or tax advisory opinions. What we do provide is bookkeeping, VAT-ready records, Corporation Tax-ready financial reporting, and payroll support, and we coordinate directly with your chartered accountant whenever that’s useful.
